Hale Family Organization Executive Meeting Minutes

Following is a brief summary of this meetings minutes, as far as they may interest the general body of the Hale Family Organization.
2007 Budget:
The 2007 HFO budget consists of funds set aside for printing and sending of 4 newsletters, general mailing supplies for filling orders, books and subscriptions which assist the genealogy committee, cost of creating items for distribution (pins, charts, genealogy CD’s), and the cost of erecting a memorial marker for Jonathan Olive and children. We increased the budget in order to update software for printing newsletters. Budget was reviewed and approved.
Newsletter:
*New software needed, we are discussing options for upgrading our program in order to make it easier to format and to post PDF files on the website.
*In the past, we have used the copy center at the LDS church office building to print newsletters. However, rules have changed at the church office building and we are considering other options.
*The last newsletter returns increased to about 90. It was suggested we contact the Post Office about “auto updates on returns”.
*The last newsletter was the first that was sent out by “Bulk” mail and it worked very well.
Memorial Marker
It was reported by the President that the Cemetery in Council Bluffs, Iowa where we want to put the Jonathan & Olive Marker is making us pay for a burial plot. We need to check with the city to see if they will donate a plot to the family for the Marker.
Genealogy Report
*President Hale reported that the genealogy committee is working on trying to update and finish sourcing all of the current names in the database so that we can have an up to date accurate record rather than trying to just add more names. It was suggested that the file be broken into family groups so that it will work faster on the internet.
*It was reported that the manifest for the ship the Hector, long believed to be the ship that Thomas Hale and his family came across from England in 1637, was now available online and Thomas and family are NOT on it. We must look into the situation and make corrections to our history.
Website Report
*CD of pictures of Hale Family to be added to website.
*It was suggested to put articles that will be in the newsletter on the website before they come out in the Newsletter. It was also suggested to add articles and items to the website as they are found.
*NiCole will approve new accounts and give approval for everyone who wants to add to the forums on the website so that we don’t have unauthorized use with items that are not wanted.
*It was suggested to add our website to the Hale Rootsweb site.
*NiCole suggested that we put together a “Mission Statement” for the website and possibly for the newsletter if applicable. One was suggested that was close to the 1889 original.
Aroet Book
Christine commented that she would like to start writing the text portion of the book. It needs to be found out what information we have and what more we need. Also the genealogy portion and the picture portion needs to be determined and worked on.
Officer Assignments
*It was noted that Brent Hale had been released as VP/Membership.
*NiCole presented information for suggestions and help with the identity of Officers and their respective assignments.
*NiCole presented a paper with what she felt was the listing of everything that is being done by the Organization and asked that everyone go through the list and mark what they are doing and bring the list back to the next meeting for comparison and to see if someone is overloaded.
Much discussion was then had as to how and who we could get to help in those areas where additional help was needed. An article will be put in the next newsletter and on the website about the need for help and we will continue with that until we find good people. President Hale will follow up with any persons suggested and volunteered to find suitable help.
New Business
*It was suggested that we add articles to the website and the newsletter to peak the interest of the younger generation so we can get them to become active in the Organization.
*The next business meeting will be held at the end of April 2007.
